As a public service, the Library welcomes the use of its meeting rooms for public exhibits or gatherings of a civic, cultural or educational character. Rooms are not available for the benefit of private individuals or commercial enterprises.
All groups must complete an application form in writing. This form is provided both in the Library and online. Application should be made 7 days in advance; permission will then be secured from the Director, and confirmation made by the Building Superintendent. Local groups committed to a season’s program of meetings should apply before June 1 for the coming season, Sept.-June. Library programs have the first priority, otherwise the meeting rooms will be assigned on a first come, first served basis.
The following regulations must be observed in the use of: Library Meeting Room (1st floor):
No admission fee may be charged nor items sold by any group using the Library without advance written permission from the Board of Trustees.
Each group is expected to be responsible for leaving the room as found, for cleaning up the kitchen after use, and for the replacement of lost or damaged equipment.
The responsibility for opening and closing the Library meeting rooms is reserved to the employee in charge of the Library. Groups anticipating remaining in the building after 9:00PM must seek approval in advance so a custodian can be scheduled.
For the main Meeting Room, after 3:00 pm weekdays and any time on Saturday or Sunday, the minimum fee is $42.
All payment for custodial service for the time the group is in the building should be made by check, payable to the Town of Bedford and delivered to the Library at the time of the meeting.
No fee will be charged when the program is presented by the Library, Friends of the Library, or official committees/departments of the Town of Bedford.

The Conference Room (mezzanine)
When the group is 10 members or less and no special set-up is required, the small conference room may be used by community groups.
An application form must be completed and submitted.
This room is available during library hours only.
There is no fee charged for this room.
It is understood that
the public will be welcomed at all meetings.
Parking spaces are provided at the rear and sides of the building.
Blue spaces are reserved for students during school hours.
No literature may be distributed at a meeting without the permission of the Director.
A representative of any group or organization planning to use the Library meeting room must inform the Building Superintendent what arrangement of furniture and equipment is desired at least two weekdays in advance of the meeting.
Prompt notice of cancellations is requested.
Upon adequate notice and for adequate reasons, the Library reserves the right to revoke permission to use any meeting room. Interpretation of this policy is at the discretion of the Director.
